SeatPlanify User Guide

This guide explains how to manage guests, tables and seating charts online with SeatPlanify.
SeatPlanify works directly in your browser, with no installation required.
Desktop or laptop: full editing: guest list, tables and seating chart.
Phone: account creation, login, password reset, token overview, renewal and package ordering.

Wedding Seating Planner Tutorial for Events

Follow the steps below to create your account, order access and start planning your seating chart.

1) Create account

  1. On the home page, click Create account.
  2. Enter your email and password.
  3. Confirm by clicking Create account.
  4. If you receive a verification code by email, enter it and confirm.
If the email is delayed, check your Spam or Promotions folder. The code is valid for a limited time.

2) Log in

  1. Click Log in.
  2. Enter the email and password you used during registration.
  3. Confirm by clicking Log in.
If you get a wrong-password message, use Forgot password?.

3) Forgot or change password

Forgot password

  1. On the login screen, click Forgot password?.
  2. Enter your email and click Send code.
  3. Enter the code received by email and choose a new password.
  4. Save the change and log in with the new password.
Tip: use a strong password with letters, numbers and symbols.

4) Order a package

  1. Choose a package: 7, 30 or 90 days.
  2. Enter your account email address.
  3. Confirm the verification code sent to your email.
  4. Continue to secure payment and pay with your credit/debit card or PayPal account.
  5. After successful payment, your token is shown on screen and sent by email.
Your access period starts only when you first open the planner with the token.

5) Token – access, list and renewal

Getting your token

  • After payment, the token is displayed on screen and sent to your email. Save it carefully.

Entering your token

  1. On the home page, enter your token in the Enter your token... field.
  2. Click Launch planner.

Find my access tokens

  1. Click Find my tokens.
  2. Enter your email and password.
  3. Send the code, confirm it, and request your token list.

Renew access

  1. Click Renew access.
  2. Enter your existing token and click Check.
  3. If the token has expired, choose a new package and complete the payment with your card or PayPal account.
The token stays the same — only the access period is renewed.

6) Launch the planner

  1. Paste your token into the token field and click Launch planner.
  2. The browser opens your guest list and seating planner.
Desktop or laptop: full functionality, recommended for editing.
Phone: account, token, payment and renewal actions.
If the token does not work, check for extra spaces, make sure it is copied correctly, or use Find my tokens.

7) What you can do inside the planner

A) Guest list

  • Add guests with name, surname, notes, group and special requirements.
  • Manage attendance status.
  • Search and filter guests by name, group or attendance.

B) Seating chart

  • Create the event space: standard rectangular space or custom real dimensions.
  • Add round, rectangular, oval or multi-row tables.
  • Assign guests to tables and seats with simple click-based actions.
  • See occupied and free seats visually.
  • Print or export the seating plan when needed.

Advanced options

C) RSVP system

  • Create and share RSVP links with your guests.
  • Guests can confirm attendance online from their phone or computer.
  • RSVP responses are automatically connected to your guest list.
  • Track confirmed, declined and pending guests more easily.

D) RSVP email notifications

  • Add your email address inside the guest list page.
  • Receive automatic email notifications whenever a guest submits an RSVP response.
  • Stay updated without manually checking the RSVP page.

E) Budget planner

  • Set your total event budget.
  • Add planned, actual and paid costs.
  • Organize expenses by categories and subcategories.
  • Track remaining budget automatically.
  • Use category summaries for easier planning.
  • Move guests between seats.
  • Return guests to the list and assign them again.
  • Use quick statistics: confirmed guests, occupied seats, free seats and percentages.
Tip: first complete the guest list, then arrange tables and seats.

8) FAQ

  • I did not receive the email/code. Check Spam or Promotions, wait a few minutes, then request a new code.
  • The token does not work. Make sure it is copied without spaces and check whether it has expired.
  • Can I edit the seating chart on my phone? Phone use is intended for account, token and payment actions. Full editing is recommended on desktop or laptop.
  • Can guests RSVP online? Yes. You can share RSVP links and guests can confirm attendance online.
  • Will I receive RSVP notifications? Yes. Add your email address in the guest list page to receive automatic RSVP notifications.
  • Does SeatPlanify include budget planning? Yes. The built-in Budget Planner helps track planned, actual and paid event expenses.
  • Can I renew without getting a new token? Yes. Use Renew access. The token remains the same.
  • How can I pay? Payments are supported with credit/debit cards and PayPal accounts through secure PayPal checkout.
Compatibility: works in modern browsers such as Chrome, Edge, Firefox and Safari.
